If you've ever tried to book a face painter a few weeks before a summer event and found that every professional artist was already fully booked, you're not alone. It happens every year, and it catches a lot of people off guard.

Whether you're planning a birthday party, a corporate family day, a school fun fair, or a community festival in Metro Vancouver, this guide will help you understand exactly when to reach out, what fills up fastest, and what to do if your event is coming up soon.


Why Booking Early Matters More Than You Think

Vancouver's event season is busy and concentrated. A large portion of parties, festivals, school events, and corporate gatherings all compete for the same weekends between April and August, and again in November and December. Professional face painters with strong reviews and consistent quality book up quickly, and once those dates are gone, the remaining availability tends to be newer or less experienced artists.

Leaving your entertainment booking too late often means working with whoever is still available, and that's not always who you'd choose if you'd planned ahead.

Weekends book faster than most people expect. Saturdays tend to go before Sundays, and popular dates like long weekends, the last weekend before school starts, and graduation season disappear early. It's also worth knowing that inquiring about a date doesn't hold it. Your date is only confirmed once you've completed a booking form, signed a contract, and paid the deposit. An open date from a conversation a month ago isn't a guarantee.


Booking Lead Times by Event Type

Birthday Parties

Recommended lead time: 3–6 weeks

Birthday parties are typically smaller bookings: one artist, two hours, a set guest list. That makes them more flexible than large events, but popular Saturday dates in peak season still fill up fast.

If your child's party falls between May and August, aim to book 4–6 weeks out. For fall and winter birthdays, 3–4 weeks is usually enough, though earlier is always better.

Corporate and Community Events

Recommended lead time: 6–10 weeks

Corporate events, company BBQs, family days, and community festivals involve more moving parts: venue logistics, staffing decisions, internal approvals, and often multiple services or artists. That approval chain takes longer than most coordinators expect, and by the time a booking is confirmed, the best dates may already be taken.

For summer corporate events running June through August, we recommend reaching out by late March or early April at the latest. In 2026, that window is even tighter than usual. May and June are the busiest months of the year for school events in Metro Vancouver. Fun fairs, spring carnivals, year-end celebrations, and dry grad events all land in the same narrow window, and PAC coordinators across the region are booking simultaneously.

On top of school events, May Day celebrations and community events start ramping up through spring, adding even more competition for available artists.

If you're organizing a school event, reach out as early as you can. By the time most committees meet to finalize entertainment, the best dates are already partially booked.

Festivals and Large-Scale Events

Recommended lead time: 8–12 weeks

Festivals and large community events that require multiple artists need the most lead time of any booking type. Coordinating a team means confirming artist availability, aligning schedules, and organizing staffing logistics well in advance. That process takes time that simply isn't available in a last-minute window.

For any event expecting 100 or more guests, or any booking requiring two or more artists, we strongly recommend reaching out 8–12 weeks in advance. The earlier you confirm, the more flexibility you have on staffing and service combinations.

Holiday Events (November–December)

Recommended lead time: 6–10 weeks

The holiday season catches a lot of people off guard. November and December fill up faster than most organizers realize, and the calendar year starts earlier than you'd expect. Bookings for December sometimes come in before June.

If you're planning a holiday party, corporate event, or community celebration for the end of the year, don't wait until October to start looking. Aim to book by late September or early October to get your preferred date and artist team.


When Does Peak Season Start?

Vancouver's busiest event season runs April through August, with holiday season (November–December) being a second peak.

Here's what that looks like in real time:

  • February–March: Summer inquiries start coming in. June weekends begin filling.

  • Mid-April: June is often fully booked. July and August dates are going fast.

  • May–June: Peak of school and community events. This is the busiest stretch of the year.

  • July–August: Summer peak. Most weekend dates for established artists are confirmed weeks in advance.

  • September–October: Activity slows. Good window to book fall and early holiday events.

  • November–December: Holiday season. Bookings spike again, especially the first two weekends of December.


What If My Event Is Coming Up Soon?

If your event is a few weeks away and you haven't booked yet, it's still worth reaching out. Last-minute availability does happen. Cancellations occur, and occasionally there are open dates that haven't been filled yet.

That said, the closer your event is, the less flexibility you'll have on date, time, and artist. If you have any wiggle room on your event date, that flexibility helps significantly.

Outdoor Events: Plan for the Weather Too

One thing that affects bookings more than most people realize is Metro Vancouver's unpredictable weather. Some clients wait until the weather app shows sunshine before reaching out about outdoor summer events, and by that point, the available artists are long gone.

Book your entertainment first. Plan your weather contingency second.

For outdoor events, always have a backup plan: a covered area, a tent, or an indoor alternative. Face paints perform differently in extreme heat or rain, and a proper shaded setup is required for any outdoor booking.
